    Recent Tragedy

    ​Due to the recent school shooting in Florida, Wellspan Employee Assistance Program (EAP) has reached out to us, to share some valuable information on how to speak to students, and your own children about this tragedy.  There are two flyers attached this email to assist you.  

    Also, if you would like to seek counseling for yourself, or any of your immediate family members, please keep in mind that UASD will pay for the first three visits for any counseling sessions through EAP.

    Friday Reminders for 2/16/2018

     

    Important For All Staff Requiring Substitutes ​For Absences

    When you must be off work for a planned absence of more than 20 consecutive days, the absence should NOT be entered in the absence system.  You must notify your supervisor of the need to be off work during this time.  The supervisor will then notify Human Resources and the substitute service to request a long term absence for you.  
     
    When a long term substitute is needed, the absence should not be open for all substitutes to pick up the assignment.  Long term absences require the supervisor to request information on qualified substitutes to fill your absence.  After 20 days, there are certain certification rules set by the Department of Education that must be followed to fill a teacher absence.  The substitute service must ensure that the properly certified teacher is filling the assignment.  The supervisor is sent applications for qualified substitutes and may choose to interview them if they wish.  This way the most qualified individual is assigned to the long term absence.  
     
    After you begin your leave, all paid leave will be added to the absence by payroll.  This will prevent use of paid leave not being available to you, if your long term absence is set for a future date.  
     
    For unplanned absences:  Employees should still continue to add the absence to the portal, even if they do not know how long they will be off, so that a substitute can pick up the absence as soon as possible.  Once the employee knows how long they may be off, and if it is longer that 1o days, they should notify their supervisor.

    This information will be shared again at the beginning of each school year as a reminder to all in SafeSchools.

    At York Suburban High School, 1800 Hollywood Drive, York, on March 13, 2018 at 4:30 PM. These FFYF presentations provide members with information about PSERS benefits and services. A PSERS Retirement Counselor will cover topics such as benefit options, withdrawal of contributions, rollovers, taxes, and legislative actions affecting PSERS. PSERS recommends that all non-retired members attend an FFYF program meeting, particularly if planning to retire within the year.

    Advance registration is not required to attend any of these large-group meetings. Please contact the Southcentral Regional Office at 717.720.6335 if requiring an accommodation in accordance with the Americans with Disabilities Act to participate.

    Applying for Clearance When Volunteering Outside of the District

    ​If you volunteer outside of the district and are required to provide criminal background clearances to the organization you are volunteering for, you may request copies from Human Resources.   

    If the organization requires you to have current clearances:  During the registration process you can indicate the clearance is for employment.  If you indicate the clearance is for volunteering, it is not transferrable to the district for employment, however, clearances for employment may be used for volunteering.  As long as the clearances are completed for employment, you may send them to Human Resources to update the clearances in your personnel file.

    To request copies of clearances, please contact me.  You will be required to physically pick up your clearances and sign a dissemination log to receive them.

    FYI - Employees will receive a notice at least 3 months prior to the date their clearances are due to expire.

     

    ​Family Medical Leave (FMLA) Helping You to Understand Your Rights

    ​FMLA is a very complex, and sometimes hard to understand law.  All employees should be aware of their right to FMLA.  Employers are required to notify employee's, if they qualify for FMLA, even if the employee does not notify their employer of the need.  

    Attached to this, is a brochure developed by the Department of Labor and Industry for employees, to help them understand FMLA.

    Friday Reminders for 1/12/2018

    Workplace Posters
    Each year, employers are required to review, and update workplace posters.  Workplace posters must be placed in a conspicuous area where all employees are able to view, and read the posters.  UASD's posters are located on a bulletin board at each building; in the faculty rooms at AV Elementary, BE Elementary and the MS/HS, and in the work room by the main office in BI Elementary. Central office staff may view the posters in the copy room of the district offices.
     
    Beneficiaries for Life Insurance and PSERS
    There are different situations where you may want to change your beneficiaries on your life insurance policy with the district, and/or for PSERS.  If you would like to change beneficiaries for the UASD life insurance, a form is attached.  To change beneficiaries for PSERS, you must contact PSERS directly to have a form sent to you.  If you have any questions please contact me.

    Snow Make Up Day #1
    Due to the school closing today, January 5, the make up day will be Friday, February 16.
     
    Health Savings Account 2018 Contribution Limits
    For those of you who have a health savings account, the 2018 contribution limit amounts are as follows:
    • Self-only coverage  - $3,450.00
    • Family coverage  - $6,900.00
    • Catch-up contributions - $1,000.00 (for age 55 or older only)
    If you would like to change your contribution, or begin to contribute to your HSA account, there are forms attached to this e-mail for your convenience.
     
    When determining how much to contribute to your HSA, keep in mind that the benefit year for district insurances is, July 1 through June 30 of each year.  Be sure to include the district contribution to your HSA when calculating a total contribution for a benefit year.  The district contributes an annual total of $1,050.00 for single coverage, and $2,100.00 for family coverage, during a benefit year, which is disbursed monthly over the course of the year.  Employees who enrolled in an HSA after July 1, would not receive the total annual contribution amount.   Monthly contributions would be made beginning the month they enroll, and no catch up contributions are made by the district for the months the employee was not enrolled.

    "Employees take note to federal tax withholdings and changes for 2018"
    The IRS is working to develop withholding guidance to implement the tax reform bill signed into law on December 22. The IRS emphasizes this information will be designed to work with the existing Forms W-4 that employees have already filed, and no further action by taxpayers is needed at this time.
    Use of the new 2018 withholding guidelines will allow taxpayers to begin seeing the changes in their paychecks as early as February, but In the meantime, UASD will continue to use the existing 2017 withholding tables and systems in place until the guidance has been provided. What this means for UASD family is that your federal tax withholdings will change in February, rather than January as in prior years."
