    Substitutes Needed!!
    The shortage of substitutes is being felt throughout all York and Adams County school districts at this time.  Even, the few districts who still call the substitutes themselves and do not use a substitute service, are having the same issue.  
     
    We applaud all teachers, and support staff, for your efforts to be present each day for the benefit of the students.  We understand that needs do arise which requires staff to use sick or personal days throughout the school year.  
     
    That being said, the following information may help you to understand the situation we are facing with filling positions with substitutes at this time:
     
    In the past 20 days (October 1 through October 27) there has been a total of 434 absences that required a substitute (this includes all absences for classified and professionals together).  
    Each day there is anywhere from 20, to as much as 36 absences, that need to be filled.  434 is a significant increase from the same first 20 days in October of 2016 which had 300 absences, and October of 2015 which also had a total of 300 absences during the same 20 days.  
     
    If you have any suggestions that might help in resolving the substitute issue please let your supervisor know.
     
    Please share the flyers below with friends, relatives, anyone.  Substitutes are needed in all positions.  Your help in spreading the word, through your Facebook posts, Twitter, etc. would be greatly appreciated, and beneficial to all students of the district.

    Policy Updates and Board Approvals

    As employees of Upper Adams School District, it is our responsibility to review policies as needed, and when there are changes that may affect us in our positions.  All policies are important to the function of our schools.  New, and revised policies are approved each month, and are listed on the school board agenda.  This agenda is a public document shared on the UASD website, and can be accessed by clicking on the Agenda Manager link at the bottom right of the home page.  

    In addition, as an extra service to our staff, a newsletter titled "Board Briefs" is meticulously prepared by Candy Bretzman, Central Office Executive Assistant, and e-mailed to all staff with district e-mail (thank you Candy).  In addition to all board approvals, the Board Briefs lists all policy revisions, and new policies that have been approved.  The best way to keep yourself informed, is to review  approved policies from the monthly board meetings.

    Did you know?

    That in the past year the policy committee has been diligently working on updating all personnel policies, and combining them into one.  Previously personnel policies were separated by administrators (300's), professional employees (400's), and classified employees (500's).  All personnel policies are being combined into the 300's.  In December the final policies will hopefully be approved, which will pull all personnel policies into the 300's section.

    Flu Shot Preventive

    Highmark has shared a flyer (see attached) encouraging everyone to get their flu shot.

    Once again this year, all Rite Aid pharmacies are offering free flu shots to employees who have Highmark health insurance with the district.  Rite Aid also accepts other insurances as well (please contact Rite Aid for other accepted insurances).   No appointments are necessary.  To find a Rite Aid near you please visit their website at: https://www.riteaid.com/shop/info/pharmacy/services/vaccine-central/immunization-information/flu

    PSERS Foundations for Your Future Upcoming Seminars

    Presentations provide active members with information about PSERS (Pennsylvania School Employees' Retirement System) benefits and services.  A PSERS Retirement Counselor will cover topics such as benefit options, withdrawal of contributions, rollovers, taxes, and legislative actions affecting PSERS.  PSERS recommends that all active members attend an FFYF program presentation periodically, particularly if planning to retire within the year.  Upcoming seminars are listed below:

    October 25, 2017 at 4:30 p.m. - Chambersburg Area Middle School auditorium, 1151 East McKinley Street, Chambersburg 

    November 1, 2017 at 4:30 p.m. - York Suburban High School, 1800 Hollywood Drive, York

    November 16, 2017 at 4:30 p.m. - Red Land High School Auditorium, 560 Fishing Creek Road, Lewisberry

    Friday Reminders for 10/13/2017 

     

    Safe Schools Training Added
    ​Suicide training has been added for all employees in Arendtsville and Bendersville Elementary, and the Middle and High School.  
    It was previously thought that only 6th through 12th grade teachers needed to complete 4 hours of this training every 5 years.  After reading through the policy and the act itself, I have found that the policy says professionals in buildings serving students 6th through 12th (see attached policy and highlighted areas) are required to complete the training.  In addition all support staff in those buildings must be educated as well, which can be provided through the same Safe Schools training.  The training will be opened up to outsourced companies as well for anyone who serves students in that age group. 
     
    T​he due date for the training has been extended through November 30, so that all are able to complete it.  You can view the training on the Safeschools portal now at ​

    Credit Union Payroll Deposit Changes

    Anyone who makes a change to their Credit Union Payroll Deposit, should be notifying Lois Swope in the Payroll Department by e-mail or by phone (extension 2702), to request a form.   The district now uses direct deposit for all payroll deposits into the 1st Ed Credit Union, and there are new, updated forms, that must be completed for changes, and new accounts.  

    Leave of Absences

    The district understands that there are times when an extended leave of absence may be necessary for an employee.  When an employee finds themselves in a situation where they must be off work for more than three days, whether or not they have sick leave or personal leave days available to them, it is the employee's responsibility to notify their supervisor of this need.  The absence portal should be used to enter such absences, however, an employee should still communicate in some way, to their supervisor, if they plan to be out for an extended period of time.  The supervisor will then notify Human Resources, so that the necessary paperwork can be sent to the employee regarding Family Medical Leave (FMLA) entitlement, and/or the process for requesting leave without pay, if necessary.   

    There are specific policies for use of paid and unpaid leave, that was included in the policies to be read by all employees, that was included in the Safe Schools training at the beginning of this school year. Employees should review these policies when the need for extended leave arises, as well as, reviewing the handbook or contract for their specific position.  If you do not understand the policies, or have questions about taking a leave of absence, please contact me.

These FFYF presentations provide members with information about PSERS benefits and services. A PSERS Retirement Counselor will cover topics such as benefit options, withdrawal of contributions, rollovers, taxes, and legislative actions affecting PSERS. PSERS recommends that all non-retired members attend an FFYF meeting, particularly if planning to retire within the year.

    Please be sure to complete your trainings on time.  

    Did you know that you are able to complete additional training on your own? There are many  other trainings that you can complete in the Safe Schools portal.  Just click the extra training tab at the top of the home page, and choose any subject of training that you would like to complete.

    CLASSIFIED EMPLOYEES ONLY

    Time Slip Completion (see attachment: UASD Timesheet)

    Please be sure to read the directions on the back of your timesheet.  (Disregard the NOTE: under the start and end time on your current timesheet.  This will be revised on the timesheets you will receive in January.)

    Do not enter different working hours in the date spaces on the timesheet table.   This makes it very difficult to read.  You should only be entering the total number of hours in the boxes, and if you are taking a paid day off for a particular day; a "S" for sick day, "P" for personal day, or "V" for vacation if eligible. Click here for an example!

    If you are working different hours, or if there is a break in hours that you are working, you must indicate the starting and end time as needed in the space below the timesheet table.  Be sure to include the date and the start and end time for the break.  The total number of hours for the day should be in the box above for that date.
